The applications page shows all applications and gives you a quick overview and management of your entire recruiting process. How the page is structured depends on whether your workspace is connected to an ATS.

Selecting a Job

When you open the applications page, you first see a list of all active jobs from your ATS. Each job is shown with its title and ATS ID. Clicking a job loads all of its applications.Use the search field at the top of the list to quickly find a specific job. Alongside individual jobs, there are two special views:
  • All Jobs: Shows every application across all jobs
  • Unknown Job: Shows applications that couldn’t be matched to a job in your ATS
Applications land under Unknown Job when the application link used didn’t include a valid remote_job_id. See the ATS Troubleshooting guide for details.

Applications at a Glance

All applications are shown in a table view. Each row represents one application and includes the following columns:

Status Pipeline

At the top of the applications overview, a visual pipeline shows all application phases with the number of applications in each. Clicking a phase filters the view to applications in that status. Phases are customisable per workspace.

Switching Between Jobs

Only applies with ATS integration.
The name of the currently selected job is shown at the top. Clicking it opens a dropdown menu you can use to quickly switch to a different job.

Application Details

Clicking an application in the table opens the detail view with the following sections:
The candidate’s name and contact details. With ATS integration, a green icon next to the job title indicates the application was saved successfully in the ATS; a red icon means it couldn’t be synced (see the ATS Troubleshooting guide for details). Without ATS integration, this status indicator doesn’t appear.
Directly below the job title, you’ll see tags for: the channel the person applied through (e.g. web, WhatsApp, or Instagram), the active flow, the job (with ATS integration, the job title from your ATS; without ATS integration, the remote_job_name), the ATS job ID (with ATS integration only), and the UTM source. With ATS integration, the remote_job_name of the application link used is also shown as its own, clearly labeled tag.
If enabled for the workspace, you’ll see an automatically generated candidate summary here along with the JobFit score and its individual factors. Learn more in the AI Summaries and AI Screening guides.

Internal notes about the application that your team can add and save.

Actions in the Detail View

Archive

Moves the application to the archive.

Share

Creates a shareable link to the application for people without a PastaHR account.

Download CV

Generates and downloads a PDF resume that includes a cover page with the flow questions and answers, plus all documents the candidate uploaded.
