FAQ Chat Mode lets you store typical candidate questions directly in PastaHR. When one of these questions comes up in chat, the chatbot answers automatically, with no action needed from your team. This works whether or not you otherwise use chat for direct communication. This improves the candidate experience, since candidates get fast answers to common questions, while your recruiting team saves time.

Where to Find FAQ Chat Mode

You’ll find this feature under Settings > AI Automation. There, you can add new questions and matching answers at any time, or edit existing entries.

Recruiter Support in Chat

This setting determines whether your team is notified about unanswered questions.
Your recruiting team is notified when a candidate asks a question the chatbot can’t answer, and can reply directly in the chat.

Turning an Answered Question into an FAQ Entry

If a question was answered manually in chat, you can turn it into an FAQ entry in just a few clicks, with AI assistance.

Click Generate FAQ

Click Generate FAQ next to the answer. The AI automatically drafts a suggested question and answer.

Adjust the suggestion

Edit the draft as needed before saving it.

Publish or save as a draft

Admins can publish the entry directly. Recruiters and Admins can save it as a draft instead.
Drafts can later be edited and published by Admins under Settings > AI Automation.

Configuring Custom Chatbot Rules

You can adjust the chatbot’s behaviour by setting up custom rules that control style, tone, and formatting. Examples of possible rules:
  • Never answer questions directly and always refer to a specific contact instead
  • Address candidates formally (e.g. always use the formal “Sie” in German)
  • Use or avoid certain words or phrases
  • Set the tone — formal, casual, or neutral
  • Format the company name in a specific way (e.g. always in italics)
  • Use region-specific writing conventions (e.g. “ß” for German-speaking candidates)
