An application flow is the structured conversation candidates go through when they apply for a job via PastaHR. Instead of filling out a rigid form, they answer a sequence of questions online or in chat, via WhatsApp or Instagram. Every question serves a purpose: it captures information for your recruiting team, feeds the AI screening engine, or gets passed on to your ATS. You can set up a separate flow for each job profile, so the questions asked match the role. Once a flow is set up, it works the same way across every channel: the same questions, in the same order, with the same criteria.

Managing flows

You’ll find all of your workspace’s application flows under Settings > Flows. This overview is only accessible to users with Admin rights. In an individual flow’s settings, you can set two basic things:
  • Name: The internal name your team uses to recognise the flow in PastaHR.
  • Default ID: The ATS job ID used when an application comes in through this flow without its own ID for the position. This way, the application still lands on the right job in your ATS instead of getting lost.
Creating a new flow, and any changes to its content, such as which questions are asked or how the blocks are combined, are handled by the PastaHR team for you.

Question types

Several question types can be combined within a flow:
  • Button or list questions: Multiple choice options the candidate picks an answer from.
  • Multiple choice: Multiple options from which the candidate can select one or more answers.
  • Free text: The candidate types their own answer.
  • Video or voice message: Instead of a text or button answer, the candidate records a short video or voice message. This is ideal for getting a better sense of a candidate before the first interview.

Automatic pre-qualification

For button or list questions, you can define clear knock-out criteria, for example a driving licence (yes/no) or language skills (at least B2). If a candidate’s answer doesn’t meet the criterion, they automatically get a note that they don’t meet the stated requirement.
This is not an automatic rejection. The candidate can still continue with the application if they want to.
This makes the process more transparent for candidates and reduces the number of applications your recruiting team has to screen manually.

ATS qualification questions

If an ATS is connected, PastaHR automatically pulls the questions stored for a job directly from your system. By default, only the mandatory questions are asked, but you can also enable the optional ones. Automatic pre-qualification can be applied here too: knock-out criteria work exactly the same way as with button and list questions.

AI pre-screening

AI pre-screening dynamically generates matching qualification questions per job, based on the job description and your custom instructions. For example, it can automatically ask how someone plans to get to the workplace, or whether they meet the requirements stated in the job description. The questions are generated automatically only once per job, so that every applicant is treated fairly under the same conditions.
