The Chat Interface

When you open the Chat section, you’ll see a list of all ongoing conversations on the left, while the selected conversation is shown in the main area. PastaHR automatically detects when a candidate has asked an unanswered question and tags that conversation with a Frage (Question) badge. Use the Frage filter to see all conversations that need a response, and make sure no candidate question goes unanswered.
Conversations from different channels, such as WhatsApp or Instagram, appear in the same inbox. The channel icon next to each conversation tells you which channel it came from.

Filtering Conversations

Use the filter options at the top of the conversation list to focus exactly on the chats that need your attention:
  • Unread: conversations with messages you haven’t seen yet, marked with a red dot
  • Applied: conversations where a complete application has been submitted
  • Question: conversations where a candidate has asked an unanswered question
  • My Chats: conversations assigned to you personally
Click the filter icon next to My Chats for additional filters, such as job flow, ATS job ID, language, assigned team member, or channel.

Chat Archive

If a conversation is no longer active or relevant, for example after a candidate has been hired, rejected, or withdrew, you can archive it to keep your main inbox focused. There are two ways to archive a chat:
  • Right-click on the conversation in the list and select Archive.
  • Open the conversation and click the Archive button in the top area of the right sidebar.
To view archived chats, click Archive in the left sidebar. All previously archived conversations are stored there and remain fully accessible. To restore a chat, go to the archive, right-click on the conversation, and select Unarchive.
Archiving a chat doesn’t delete it. The full conversation history is preserved and can be retrieved at any time.

Chat Notifications

PastaHR sends email notifications when a candidate sends a new chat message. Notifications go to assigned team members, with fallback to the email address set on the job posting. You can configure your personal notification preferences via the dropdown menu in the bottom left of the web app. See Notifications for full details on how chat notification delivery works.

Assigning and Collaborating on Chats

Conversations can be assigned to specific team members, which makes it easier to distribute work across the recruiting team. Assignment sometimes happens automatically, for example when a team member replies to a chat, they’re automatically set as the responsible person, and it can also be done manually at any time.
