# Interview Booking: Schedule Candidates Effortlessly

> Let candidates self-book interview slots based on your availability, with automatic calendar invites and notifications sent to all parties.

## How It Works

When a candidate reaches the interview stage in your pipeline, you send a booking invitation via PastaHR for a configured interview type. The candidate picks a slot within the available times, and the interview is scheduled automatically, no manual work required on your side.

    Send a booking invitation directly from the candidate's profile. They receive a link to choose a slot.

    Once the candidate books, all assigned team members receive a confirmation including a calendar invite (for time slot types with a connected calendar). The candidate also receives a confirmation, followed by a reminder ahead of the appointment.

  Changes you make to the calendar invite on your end (e.g. declining) are **not** visible to the candidate. If you need to reschedule, contact the candidate directly or send a new booking invitation.

  Roles & Permissions

PastaHR uses two distinct roles for interview scheduling management.

    The **Interview Admin** role has full control over the interview booking system. Admins can:

    * View and manage all interview types in the organisation
    * Send booking invitations for **any** interview type in the organisation
    * Configure availability settings for all interview types

    Assign the Interview Admin role to recruiting coordinators or team leads who need an overview of the entire interview pipeline.

  <Tab title="Interviewer">
    The **Interviewer** role has focused, limited access. Interviewers can:

    * View and manage interview types they **created or are explicitly assigned to**
    * Send booking invitations only for their assigned interview types
    * Receive booking confirmations and reminders for their own interviews
    * ❌ Cannot view interview types or bookings they are not assigned to

    Assign the Interviewer role to hiring managers or subject-matter experts who take part in specific interview stages.

## Frequently Asked Questions

<Accordion title="Can I set different availability for different interview types?">
  Yes. Each interview type has its own independent availability configuration. For example, you can restrict phone screens to Monday through Wednesday mornings, while technical interviews are allowed Thursday afternoons.

<Accordion title="What happens if I have an existing calendar event during a candidate's chosen slot?">
  For time slot types with a connected calendar, PastaHR reads your calendar in real time. If an appointment blocks a slot, it won't be shown as available to the candidate. Without a calendar integration, make sure you keep your availability settings up to date and plan your calendar accordingly.

  Yes. You can assign multiple people to an interview type. All assigned people receive booking confirmations and, if a calendar is connected, calendar invites.
